HelloFax: the good and the bad

User friendly interface: HelloFax’s user interface is simple and straightforward. When you log in, you’ll find a simple menu of display options, and you can quickly view your complete fax history. You can even create teams and invite other users from the dashboard with a few clicks.

Strong security: Security is more important than ever, and HelloFax won’t let you down. 256-bit AES encryption is available on the platform servers, or in other words, a high level of security. HelloFax also collects negligible data from users and does not store the contents of your faxes – you can always contact the team to request that the stored data be deleted. Transport Layer Security protects your faxes during transmission.

Cloud Storage Integration: Rare in the market for online fax services, HelloFax integrates with major cloud storage services, including DropBox, Google Drive, OneDrive, and Evernote. HelloFax’s Google Docs plugin makes it easy to send faxes from documents.

HelloFax: Pricing and Options

Each page after the first five pages costs 99 cents, but only on the Starter Plan. This layer also provides major integrations with third-party applications like DropBox, Evernote, and Google Drive, which are very welcome.

Users of the free plan can edit and sign faxes, and all your information is stored in the cloud.However, keep in mind that you will not be able to receive Faxes about this program; just send them.

The first paid plan is the Home Office package, which is $9.99 per month or $99.99 per year. You have access to 300 fax pages per month, possibly from five different senders. It includes all the free plan features and, crucially, you can also receive faxes – there is no limit to the number of faxes you can receive.

The next plan is the Professional level at $19.99 per month. You get 500 fax pages per month, access to up to 10 senders, and all the existing features of previous tiers. On top of that is the ability to use fax number porting – this is where you will port your current fax number to the new service; it’s a valuable feature if not required. You can submit a request to HelloFax and it will verify that your number can be ported within 24 hours.

finals main The plan is the small business level and costs $39.99 per month. This tier gives you 1000 fax pages per month, up to 20 team members, fax number porting, and all the major features of other tiers, including multiple fax recipients and the ability to receive faxes.

There is an award tier called the “Enterprise Program”. There are no prices available for this plan, you must contact Direct for a quote. From there, HelloFax will create a custom plan for you based on your specific requirements. When you sign up for the Enterprise plan, you get exclusive access to the HelloFax API.

Home office, professional and small business tiers are all available 30-day free trial, during which you can send and receive faxes. While free trials for online fax services are common, it’s nice to see them set to 30 days here. What’s more, if you decide to end your trial within 30 days, you leave quickly and you won’t be charged.

In fact, there are no setup fees or cancellation fees, and no contracts are required. If you decide midway through that you want to leave the program, you can. The only fee is if you choose to bring your existing fax line into service; there is usually a one-time fee for this porting process.

Overall, the plans here are solid in terms of features, but pricey compared to the competition. E.g, Subway Fax Offers all the same features, excluding cloud storage integration, and charges significantly less – sending and receiving 1,000 pages per month is only $12.95 per month. You must sign up for HelloFax’s Small Business tier to get the same service, and it costs $39.99 per month. This is quite a step up from cloud storage integration alone.

HelloFax electronic signature support

HelloFax provides support for electronic signatures (also known as electronic signatures). While some others on the market offer this feature, HelloFax offers it in its easy-to-find Getting Started section. In fact, you can add a signature to the HelloFax service by drawing on the screen with the mouse, typing, or even uploading an image file. If you have access to a touchscreen display, you can also use your finger to add your signature. Electronic signatures are legally binding, so having it is a useful feature.

However, while typing your signature is easy, using it during editing a fax is unnecessarily verbose. If you click or tap where it says “Sign Documents” in HelloFax, you will be sent to the separate “HelloSign” service. From there, you have to log in again – and while this might not take a lot of time, it’s an odd sequence for users who just want to sign their documents.

Other than that, everything else here is solid. The first three documents you sign are free and integrated with Google Drive. You have to pay for the Essentials plan on the HelloSign service to get unlimited documents – this is quite different from the basic plan we discussed earlier and is only for electronic signatures, as shown below.

Starting with the second plan, you will have access to unlimited signature requests. Additional features at higher tiers include custom branding, bulk sending, team features, and SharePoint integration. The second and third plans offer free trials.

HelloFax Mobile Features

HelloFax doesn’t offer a mobile app — a fairly standard feature of online fax services, it offers convenience. For example, a fax user might want to take a picture of a document with their phone, rather than looking for a scanner.

What’s more, HelloFax’s website isn’t mobile-optimized or responsive, so if this feature is high on your list of needs, it’s best to look elsewhere. It’s worth noting that HelloSign — HelloFax’s e-signature service — has a dedicated mobile app, which only makes the omission more puzzling.

Finally, if you want to send a fax from your mobile device, you’ll need to use HelloFax’s email integration service — which some users might find tedious and not up to modern expectations.

HelloFax performance

The process of sending a fax with HelloFax is simple. First, you upload the file by dragging it in or clicking the upload button. Once done, you can edit and sign the document before sending the fax. Of course, you have to enter a fax number or email address to send. HelloFax is known for providing smooth service here, with virtually no lag when faxing.

Inbound faxes are sent to you in PDF format, which can be viewed in the Documents area. You can also decide whether you want to be notified when documents arrive at you.

The service offers a range of different fax numbers, but they are only available in Canada, the UK and the US. Although users can port their numbers, toll-free fax numbers or fake fax numbers are not supported. Faxes are sent simultaneously to more than 70 countries around the world and to multiple recipients.

Finally, there is a range of team management tools available, designed to make it easier to coordinate work when working in small teams. Each team member can send and receive faxes through their email server or the HelloFax portal. Users can be added or removed for free.

HelloFax interface

HelloFax’s interface is a particular highlight of the service. You get a clean, user-friendly interface without unnecessary complexity. There is a central navigation pane with options to sign documents, adjust settings, and manage team permissions for all users in the current plan.

You can quickly create a team and invite more users by entering their email addresses. You control these settings first, but can choose to give other team members permission to send faxes themselves. It’s a simple process and it works great.

In addition to that, the Documents section shows a list of all the documents you’ve sent – although it if only Show filenames instead of sending or receiving faxes – a little more organization here adds to an otherwise user-friendly experience.

How HelloFax Ranked

HelloFax is a great online fax service that does a great job. Integrations with key cloud storage services are a plus you won’t find anywhere, and the easy-to-use interface stands out. Team management features are also great for small businesses that need them.

That said, HelloFax didn’t make our top picks because of its expensive plans, lack of a mobile app, and limited customer service. All these areas need improvement.
